Travel terms and conditions for the purchase of package tours from Epique Golf and Unike Reiser AS.

Below are the general travel terms and conditions for Unike Reiser (hereinafter referred to as UR). These apply to all trips unless special conditions for a specific trip are stated. For trips with special conditions, this will be stated in the travel confirmation. Where the travel terms deviate from the General Terms and Conditions for Package Travel, UR's travel terms take precedence, as the General Terms and Conditions are an industry standard that can be deviated from in certain cases.

A travel package is defined as a combination of at least two of the following elements, offered and purchased as a single package through UR:

    • Transportation
    • Where to stay
    • Other tourism-related services that are not directly related to transportation and that constitute a significant part of the package tour

Attachments to the travel terms and conditions applicable when booking travel with UR are considered part of UR's travel terms and conditions.

The terms are updated as of April 14, 2023. Bookings made before this date and with departure after this date are subject to the updated terms.

    1. Booking of package travel

UR is an online tour operator and travel bookings are made electronically via our website or e-mail. Confirmations and other documents are therefore not sent by post. The traveler is responsible for printing the necessary documents for use and presentation during the trip. This may include airline tickets, hotel and/or transportation documents, as well as documents sent separately by e-mail from UR's suppliers, such as car rental documents, vouchers, tickets, etc.

The person booking the trip must be of legal age at the time of booking. The person who books or confirms the trip is regarded as the trip owner. Only this person can change and/or cancel the trip. Any inquiries, correspondence or general questions from UR regarding the trip will be directed to this person. If a person books several package tours, the same person is considered the owner of all package tours.

Any allergies and special needs on the trip and during the stay must be disclosed prior to booking. UR accepts no responsibility for problems related to allergies and/or special needs for bookings that cannot be changed or canceled if these are not communicated to UR in writing before the booking is made. UR must be given the opportunity to respond to the inquiry in advance of the order so that a possible wrong purchase can be avoided.

The right of withdrawal that otherwise applies to distance selling does not apply to the purchase of travel services. The agreement between the parties is deemed to have been entered into upon confirmation of the booking and implies acceptance of the travel terms and conditions.

You must thoroughly check the booking confirmation as soon as you receive it. Names of all travelers must match a valid passport. UR accepts no responsibility for the financial and other consequences of incorrect information for the traveler. If it is not possible to change the name on the airline ticket, a new airline ticket must be purchased at your own expense.

Some changes may be possible after confirmation, subject to a fee. If UR is able to comply with the new wishes, a change fee of NOK. 500,- per person. This is in addition to any fees charged by airlines and/or other suppliers. Please note that when traveling with scheduled flights, the different airlines have a varying deadline for changes.

    2. Confirmation of package travel

After booking the trip and accepting the terms and conditions, you will receive a written confirmation to the e-mail address provided. In the event of non-receipt of confirmation, the traveler must contact UR without undue delay. Please note that the price is not final until the trip has been confirmed by UR.

Special wishes for the trip or stay on the part of the customer cannot be guaranteed by the place of stay, the airline, UR or other suppliers if they are not accepted in the confirmation.

A tailor-made offer that cannot be booked via UR's website can only be confirmed:
    - When all the customer's details have been sent to and received by UR
    - When all the elements of the trip have been booked and confirmed with UR's suppliers
The tailor-made trip is only confirmed when you have received an order confirmation from UR.

    3. Price of the trip

The price of the package is dynamic and can change until the trip is paid for. The price is initially presented per person when several people travel together. When the customer makes their choice, the price is adjusted based on the choice of room type, flights, meals, transfers, etc. In particular, manually produced offers received by e-mail or telephone are to be regarded as fresh goods that may expire in time.
The taxes and fees that can be calculated are paid at the same time as the purchase of the trip. Some local taxes and fees cannot be paid in advance, but must be paid by the customer on site. This may apply to tourist taxes collected by accommodation establishments, tolls and the like.

    4. Deposit and final payment

A deposit of 10% of the total cost of the trip must be paid to UR within five days of booking, unless otherwise required by suppliers.

In some cases, payment obligations to suppliers may result in higher deposit amounts and shorter payment terms.

The deposit is non-refundable in the event of cancellation and you must pay the expenses UR has towards its suppliers.

The trip must be paid in full to UR no later than six weeks before departure.

For travel bookings with less than 8 weeks to departure, the full amount will be invoiced at the time of booking. Invoices are due 3 days after the trip has been confirmed.

Airfare and/or air taxes are not confirmed until the tickets have been paid for and issued. These are the airline's own rules and are beyond our control.

In some cases, the airline has a short deadline for issuing and paying for the tickets. In such cases, the tickets will be invoiced together with the deposit.

Flight tickets can be canceled until they are issued. Cancellations after tickets have been issued will not be refunded. Payment terms may vary depending on the rules of UR's suppliers.

NB! Please note that the Cancellation Act of 21.12.2000 does not apply to the purchase of travel services, cf. section 9 b of the Act.

You can see the Cancellation Act here: https://www.regjeringen.no/no/dokumenter/prop.-48-l-20192020/id2691485/?ch=4

Payment by card incurs a fee of 2.4% of the total amount. The fee is charged by the card company.
If you wish to pay by card, this must be stated when booking the trip.

In the event of deferred payment or partial payment via SVEA, SVEA's terms and conditions apply.

    5. Changes

The traveler can change the day of travel, destination, hotel and the like. A change fee of NOK 1,000 per person, per change will be charged, in addition to the supplier's fees. Changes can only be made if UR is able to comply with the customer's wishes.

It is not possible to change the name of airline tickets before the document is issued without incurring a fee. The amount of the fee depends on the airline and ticket type. In some cases it is not possible to make changes at all.

A change in the number of travelers, regardless of the reason, can lead to a change in price for those who are still traveling. This change is relevant because transportation, safari and tour operator companies charge per car and not per person. This also applies to price differences in single/double rooms at hotels and the like.

    6. Cancellation

Cancellation must be made in writing by e-mail to info@epiquegolf.com

Cancellations must be sent from the same e-mail address that was used to book the trip and to which UR has sent a booking confirmation. Cancellation is considered from the date (Monday - Friday) UR receives the message. Your cancellation is not valid until you have received written confirmation from UR.

The following fees apply to cancellations:

    • If canceled after payment of the deposit, the deposit is lost
      - If canceled after payment of the total price of the trip, the price of the trip is lost

Please note that there may be exceptions, according to our suppliers' payment deadlines. It is the supplier's payment and cancellation deadlines that apply.

The terms and conditions in this section deviate from the norm as described in the General Terms and Conditions for Package Travel. This is due to guarantees and obligations to suppliers.

    7. Flight tickets

Airlines can change routes and prices of airline tickets without prior notice. Some airlines offer tickets in price categories where payment must be made immediately regardless of how long it is until the departure date. The due date may also be changed by the airline in some cases. Should this be the case, we will contact you with new payment information.

If the tickets have been paid for and confirmed with the airline, the airline is responsible for finding a solution. If the tickets are only reserved, the airline is not responsible and any additional costs must be covered by the passenger. UR recommends that customers pay for airline tickets together with the deposit.

We can pre-book seats on flights where possible. However, we cannot guarantee the reservation as airlines are free to change this at their discretion, including at check-in.

If you book flights on your own, you are responsible for informing UR of travel dates, flight numbers, arrival/departure times and any changes.

In the event that you have purchased separate airline tickets and lose connection due to airline delays and/or cancellations or schedule changes, UR, the respective airlines and other suppliers are not liable. The customer is responsible for any additional costs incurred.

If your trip consists of two single tickets, this means that if one of the flights cannot be completed for any reason due to a change/cancellation, the other flight will not be changed automatically. You are responsible for changing the ticket and covering any costs.

All flight times are in local time in the country you are traveling to, via and from. It is the booker's responsibility to take part in the rules for transportation that each airline states on its website.

As a traveler, you are responsible for checking the details of your outbound and inbound travel by logging in with your booking reference and last name on the airline's website.

Any changes and canceled flights are beyond UR's control.

Many airlines charge extra fees for baggage, seat reservations, etc. You pay this yourself at the airport, directly to the airline, or on the airline's own website.

It is the traveler's responsibility to arrive at the airport on time.

    8. Changed or deviating flight

Any delays or no-shows on the part of the traveler do not entitle the traveler to a price reduction or compensation for lost travel, be it for all or part of the trip.

If the traveler does not use the outbound ticket or a leg of the flight, the airline will normally also cancel the return ticket or the rest of the flights.

Several airlines require check-in to be done in advance and electronically for outbound and return flights. If the traveler arrives at the airport without having checked in, the airline may charge a fee for physical check-in. UR refers to the airline's website for more information about the rules for check-in and other relevant information about the flight.

    9. Cancellation due to Force Majeure

The travel industry and UR follow the Ministry of Foreign Affairs' travel advice. As a general rule, the traveler has the right to cancel their trip if acts of war, natural disasters, dangerous infectious diseases or other similar events occur at the destination or in the immediate vicinity of the destination during the last 14 days or less before the start of the trip, and there are reasonable grounds for assuming that these conditions will also exist on the day of departure.

Such cancellations are subject to the Ministry of Foreign Affairs warning against traveling to the destination(s) in question in its travel advice.

If the trip is canceled for the reasons mentioned above, the amount paid will be refunded. However, the trip cannot be canceled for the aforementioned reasons if the event on which the cancellation is based was or should have been known at the time of booking.

A trip can be canceled/changed without liability for compensation* by UR if:

    A) Unavoidable and extraordinary circumstances beyond UR's control occur. Examples could be: Risk of war, natural disasters, dangerous infectious diseases, labor disputes or similar.

    B) Conditions at the destination/along the itinerary that make it risky or unreasonable to complete the trip, and which UR could not reasonably foresee.

For point A, the Ministry of Foreign Affairs โ€œtravel advice and local authoritiesโ€ statements are emphasized in the assessment.

If UR cancels a trip and the deadline for payment of the final amount is due, non-payment of the final amount at the time of cancellation is to be regarded as a cancellation by the customer, and fees as for an ordinary cancellation will apply.

*Obligation to compensate is to be understood as compensation and must not be confused with the customer's right to reimbursement of their claim if UR cancels a trip.

    10. Travel and cancellation insurance

The traveler is responsible for taking out the necessary insurance. UR recommends that travelers have valid travel insurance that should also cover any repatriation, as well as a European Health Insurance Card when traveling in Europe. UR recommends taking out cancellation insurance if this is not included in the travel insurance. UR is not liable for situations and conditions that the traveler could have insured against and that are not due to UR or anyone UR is responsible for.

    11. Passports and visas

It is the traveler's responsibility to present valid identification upon departure and any visa required for the trip, both for themselves and the person(s) they are booking for. Outside mainland Norway, UR recommends a passport as valid identification. Some of our partners consider passports to be the only valid form of identification, also in Europe. Please note that in some cases the passport is required to be valid for at least six months after the return date. This may also apply to travel in Europe.

If the traveler is not a Norwegian citizen, it is the traveler's responsibility to check the visa rules for their citizenship to the destination in question.

    12. Reservations

All prices are based on current tariffs, taxes and exchange rates. Reservations are made for unforeseen price changes relating to transportation costs, fuel prices, taxes, fees, airport charges or exchange rates used in the price calculation.

According to the legislation, the tour operator may increase the agreed price as a result of the above.

The price change will only include costs relating to the currency in question and not the price of the entire package.

If the supplement amounts to more than eight percent of the price of the trip, the traveler has the right to cancel the agreement.

Any additional invoice will be sent no later than 20 days before the departure date.

UR is not liable for losses if the traveler's own bookings of transport or other travel services not included in the package travel agreement cannot be used due to changes in the scheduled times of travel or flight times when the changes are due to circumstances beyond UR's control.

The trip may be affected by circumstances beyond UR's control, such as weather, accessibility, labor disputes and the like. If such conditions create obstacles to the completion of the trip, UR will make necessary adjustments to, for example, the itinerary and content, change of means of transport and accommodation. UR will strive to replace the parts of the travel content that are affected by the change with equivalent alternatives.

No price reduction or compensation will be given for inconvenience due to short-term supply interruptions at hotels, including short, temporary interruptions of, for example, hot water or heating. The same applies if swimming pools and similar facilities are temporarily and for short periods out of use due to necessary maintenance work or repairs. The same applies in the event of deviations from the customer's expectations of building standards locally at the destination or other destination-related conditions that must be regarded as normal or of a less significant nature.

Minor adjustments may also be made to the day-by-day program.

UR reserves the right to make printing errors on its websites and in other digital and physical materials. UR disclaims any responsibility for information that may appear in the accommodation's or other subcontractors' brochures and/or websites. This also applies to price comparison sites such as Finn.no.

    13. The traveler's obligations

The customer is responsible for reading and understanding all documents and conditions received from UR and/or its partners. If there are any questions about what has been sent, the traveler must contact UR by e-mail or telephone without undue delay.

Flight times are given in local time. Significant changes that occur after booking must be notified to the traveler. If changes occur after the ticket has been issued, UR or the airline must contact the traveler by email or phone to inform them of the change. It is the customer's responsibility to keep up to date with emails and telephone calls from UR and its subcontractors.

The traveler is obliged to follow the rules of conduct of the airline, the accommodation, local suppliers and authorities and must not act as a nuisance to fellow travelers or others. If the traveler disregards their obligations, UR and its partners may reject the traveler. UR is not liable for any additional expenses in such a case, such as the cost of changing the return journey. The traveler cannot claim reimbursement of the parts of the trip that may not be used.

The traveler may be held liable for damages if he intentionally or negligently causes loss to UR or its partners by, among other things, failing to comply with the provisions mentioned in the previous paragraph.

If the traveler is not a Norwegian citizen, the traveler is obliged to state this when booking due to visa regulations. It is the traveler's responsibility to ensure that the passport and any visa are valid upon departure.

Travelers are also obliged to inform if they have special allergies that need to be taken into account or if they are bringing special luggage with them on the trip (sports equipment, golf bag, stroller, child seat, etc.).

The traveler must comply with the payment deadlines and must have the necessary travel documents such as a valid passport, visa, vaccination certificates, etc. upon departure.

    14. The traveler's duty to complain about defects

The traveler is obliged to notify us without undue delay if they discover a deficiency in the trip. If the traveler believes he/she has reason to complain about arrangements, this must be pointed out directly at the destination/residence. If this is unsuccessful, the traveler should contact our local agent/representative on site. The contact information is stated in the travel documents.

If the defect occurs outside of UR's opening hours, the traveler must read a telephone message and clearly state the order number. If the traveler fails to do so, the traveler may lose the right to any compensation or damages.

If the traveller wishes to refer to a defect after the trip has begun, the traveller must notify the organizer or intermediary of this (see point above) when he or she has discovered the โ€œdefectโ€. Otherwise, the traveler loses the right to complain.

If a problem cannot be resolved satisfactorily on site, a complaint can be made in writing to UR no later than two weeks after returning home. The processing time for complaints is up to four weeks.

If the complaint is not resolved to the satisfaction of the traveler or UR, the case may be referred to the Complaints Board for Package Travel.

In the event that you wish to complain about something that has happened during transportation, such as lost baggage, flight cancellations or other circumstances beyond UR's control, these complaints should immediately be addressed directly to the transport company concerned. UR is not responsible for such circumstances. Please note that many airlines require this to be done at the airport directly, as they often have reports to be completed. Some airlines require you to register the complaint directly on the airline's website via Customer Relations.

    15. General Terms

Reference is made to the Package Travel Act of 15.06.2018, as well as the General Terms and Conditions for Package Travel of 01.07.2018 and in particular their wording that โ€œInformation provided in catalogues or brochures or other information material that the organizer has prepared or refers to is considered part of the agreementโ€.

    16. Member of the Travel Guarantee Fund - your security

UR is a member of the Norwegian Travel Guarantee Fund and has provided the necessary guarantee at all times. The Travel Guarantee Fund (RGF) will cover losses that may arise if UR goes bankrupt before the trip is completed.

UR refers to the Package Travel Act.
